This privacy policy explains how Biota Nutri BV handles personal data when you use the Biota Nutri Calculator, our web application for calculating fertiliser recipes. It covers the calculator and its related emails. It does not cover other websites, even if the calculator links to them.

In this policy, “we” and “us” mean Biota Nutri BV. “You” means the person using the calculator. Some terms have a specific meaning:

• Account: your personal sign-in to the calculator.
• Workspace: the shared space of a company or team in the calculator, with its own recipes, members, logos and company details. An account can belong to one or more workspaces.
• Recipe: a fertiliser recipe saved in a workspace, including its inputs, such as water and drain analyses.
• CRM: our customer relationship management system, where we keep records of our business contacts.

By creating an account, you confirm that you have read this privacy policy.

Your account and profile

• Your email address and password. Your password is stored only in hashed form by our sign-in provider; we cannot read it.
• If you sign in with Google: the name and email address Google shares with us.
• Your first name, last name and phone number.
• Your account type (Distributor, Crop Advisor, Grower Cooperative or Farmer), country and region.
• If you fill them in: the crops you grow or advise on, your location, cultivation type (organic or conventional) and cultivated area.
• Your preferences, such as language and units.

Your workspace

• The workspace name and any logos you upload.
• Company details, if you enter them: street address, postal code, city, country, VAT number and company registration number.
• The billing email address.
• The members of the workspace and their roles, and the email addresses of people you invite.

What you create in the calculator

• Recipes, custom solutions and fertiliser combinations, including water and drain analyses.

Feedback

• Feedback you send through the feedback form: the type of feedback, your message, a satisfaction score and the part of the calculator it is about. The form is filled in with the name and email address of your account, and you can add a phone number. Your feedback is linked to your account.
• Whether you allow us to use your feedback in our marketing, with your name or anonymously, and whether we may contact you about it.

Subscription and payment

• Your subscription plan and its status.
• Copies of the notifications our billing provider sends us about your subscription and payments.
• Payments are made on the checkout page of our billing provider. We do not receive or store your card details.

Usage and security

• An activity log of security-relevant actions, such as invitations, changes to roles and deleting a workspace. An entry records who did what and when, and can include the email addresses involved (for example of an invited person), workspace and recipe names, and the IP address and browser used.
• Usage statistics from Google Analytics, only if you accept analytics cookies (see "Cookies and similar technologies").

From other sources

We may also receive information about you through our social media channels and from partner companies.

Your recipes

Your recipes are confidential. We may analyse the advice and recipes created in the calculator to learn which crops and fertiliser combinations are used, so that we can improve the calculator’s standard choices and our products. For this analysis we remove details that identify you, such as your name and email address, and combine data from many users. We do not link recipes to you or your company, or publish them, unless you, or the owner of your workspace, give us permission.

Our agronomy team

The owner of a workspace can allow the Biota agronomy team to view the recipes in that workspace, in the workspace settings. This setting is off unless the owner turns it on. When it is on, the agronomy team can view all current and future recipes in the workspace to review nutrient compositions and provide agronomic advice. They can only view the recipes; they cannot edit or delete them. Turning the setting on does not request a review.

The owner can turn the setting off at any time. From then on, the agronomy team can no longer open the workspace’s recipes in the calculator. We cannot take back what a team member has already seen or written down. We record who turned the setting on or off and when. Without this permission, the calculator shows your recipes to our staff only if they are a member of your workspace.

Our CRM

When you register, we add you to our CRM as a business contact. We record your name, email address, phone number, account type, country, region and language and, if you fill them in, the crops you work with, and that you signed up through the calculator. When your workspace has a name or company details, we add the company name, address, VAT number and registration number.

When you create an account, we may send our newsletter, with news and product information from Biota Nutri BV and its affiliated companies, to the email address of your account. You can unsubscribe at any time with the link in the newsletter or by contacting us. Unsubscribing does not affect your account.

We use your feedback in our marketing only if you tick the box on the feedback form that allows it, and only in the way you chose: with your name or anonymously.

The calculator stores the following items in your browser:

Google Analytics is loaded only after you accept analytics cookies in the cookie banner. If you reject them, or do not make a choice, it is not loaded. You can change your choice at any time. If you withdraw your consent, Google Analytics stops collecting data.

We use the following service providers to run the calculator.

We may share your data with our affiliated companies, that is, companies that control Biota Nutri BV, are controlled by it or are under common control with it. If we do, we require them to handle your data in line with this policy.

We do not share your personal data for any other purpose without your consent.

The calculator’s database, sign-in and hosting (Google Firebase) and its email service (Resend) are located in the United States. If you accept analytics cookies, Google Analytics may also process your usage statistics in the United States, and our payment provider Stripe may process payment data there. Our billing and CRM data is stored in Zoho’s EU data centre; Zoho states that it may be accessed from India for technical support.

• Deleting your account. You cannot delete your account yourself; ask us at info@biota.nu. When we accept your request, your account is suspended straight away: you can no longer sign in to the calculator. We keep your data for 90 days, during which you can ask us to restore the account. When the 90 days are over, we permanently erase your profile, your custom solutions, your memberships of workspaces and your sign-in details, and we remove your name, email address, phone number and account link from any feedback you sent.
• Your workspaces when your account is deleted. A workspace that you own and use alone is deleted together with your account and follows the same 90 days. A workspace that has another owner stays active for its other members; recipes you created there stay with that workspace. If you are the only owner of a workspace that has other members, you must first transfer ownership of it to someone else.
• Deleted workspaces. When a workspace owner deletes a workspace, we keep its data for 90 days. When they are over, we permanently erase the workspace, including its company details, recipes, logos, member list and open invitations.
• Activity log. Entries are deleted once they are 12 months old.
• Feedback. Feedback is deleted once it is 24 months old. If your account is deleted before then, we remove your name, email address, phone number and account link from it when your account is permanently erased. What you wrote stays until the 24 months are over, so anything you mentioned in the text itself remains until then. You can ask us to delete your feedback at any time.
• Billing notifications. The calculator keeps copies of the notifications our billing provider sends about your subscription and payments for 6 months, then deletes them. These copies are separate from your invoices.
• When deletion happens. The periods above say when data becomes due for deletion. The deletion itself runs automatically in the background, so it can take up to a few days after that moment to complete.
• Invoices. Invoices are kept in our billing system for 7 years, as Dutch tax law requires.
• Our CRM. Records in our CRM are managed separately, in Zoho. They are not deleted automatically when your calculator account or a workspace is deleted. For questions about your CRM record, or to exercise your rights over it, contact us (see “Your rights”).
• Combined statistics. Statistics that no longer identify you may be kept without a time limit.

Under data protection law, you have the right to:

• access your personal data and receive a copy of it; the first copy is free;
• correct inaccurate or incomplete data; you can change much of it yourself on your profile and in your workspace settings;
• have your data erased, in the cases the law provides for;
• restrict how we use your data, in the cases the law provides for;
• object to our use of your data based on legitimate interest, and at any time to its use for marketing;
• receive your data in a portable format, or have it transferred, in the cases the law provides for;
• withdraw your consent at any time where we rely on it, such as for analytics cookies or the use of your feedback in marketing.

We review this policy regularly and publish any changes on this page. The effective date at the top of the page shows when it was last changed.
